Moj upravnik: redesign of the portal for modern property management


SPL is one of Slovenia's leading property management companies with more than 50 years of experience. The company manages and maintains a wide range of residential and commercial buildings and develops advanced services for condominium owners. As part of their digital upgrade, we designed and developed a revamped Moj upravnik portal, which serves as the central digital environment for accessing documents, viewing data, communicating with the property manager, and managing services. With a holistic approach, we improved the user experience, modernized the technology architecture, and delivered a secure and long-term maintainable solution tailored to the needs of modern users and the complexity of back-end systems.

Challenge

A reliable system that had become a risk due to age 

After more than 14 years in operation, the Moj upravnik portal reached a point where the existing technology architecture no longer met modern standards and user expectations. Despite stable operation, the solution was not adapted for mobile devices, and the technology used had reached end of life and was no longer supported, which posed an increasing security risk. 

The key challenge was to ensure a modern, secure, and long-term maintainable solution that would enable a better user experience and user support, without compromising operational reliability and existing processes. The project clearly showed that even systems that appear to operate flawlessly no longer provide an adequate level of security due to age and technological limitations, especially when processing personal data and large volumes of information. 


Our solution

Modern architecture and an improved user experience 

We approached the overhaul holistically, with a clear objective to establish a modern, secure, and reliable technology foundation for the portal’s further development. We placed particular emphasis on redesigning the user experience, including for mobile devices, and on setting up a technical architecture that enables easy upgrades and security updates of the system. 

We designed the solution with the client's existing back-end systems and data structures in mind, without changing their processes or the way data is processed. This ensured uninterrupted operations and minimal impact on their day-to-day work, while establishing an architecture that enables connectivity with other systems and further development of functionalities. 

For solutions such as a user portal intended for multi-year use, a considered choice of technology and architecture is crucial; it should not necessarily follow current trends, but ensure long-term stability, security, and maintainability, and reduce risks associated with technology obsolescence. 

Functional enhancements for a better user experience

The revamped portal gives users one place to access all key documents and data related to their property, view consumption information, and communicate more easily with the property manager. 

An important enhancement is the improved display of heating data, which gives users a better overview of consumption, comparison  and easier understanding of costs.

The portal is also used in the SPL contact center, where it provides employees with faster insight into user data and more effective support in communication and in resolving user requests.

This was developed in cooperation with an external partner responsible for the client’s back-end systems related to heating. We complemented the new portal with online bill payment, further simplifying the management of financial obligations for both users and the client.

Phased implementation and data migration

We executed the project in phases. Together with the client, we first focused on thorough planning of the user experience and user journeys. Implementation then followed in individual workstreams. We decoupled the user-facing data display from the back-end systems, which enabled greater flexibility and simpler future enhancements. 

An important part of the project was also preparing services for migrating data from the existing system; we performed the migration after completing development of the key functionalities. This was followed by a two-month testing period in which we verified data accuracy for different user types and ensured reliable system operation. 

Thorough user research and UX planning

Together with SPL, we defined the key user journeys and mapped them into flow diagrams. Based on this, wireframes of all key screens were created and reviewed with the client before visual design. This reduced the number of changes during development and ensured that the most frequent tasks are accessible in just a few clicks.

Results

The overhaul of the Moj upravnik portal provided SPL with a stable technology foundation for further development of digital services and secure management of large volumes of data and users. The new architecture enables easier upgrades and integration with other systems without the need to alter existing back-end processes. 

For users, the redesigned portal means clearer access to data and documents, a better user experience across devices, and simpler management of services and financial obligations. At the same time, it gives contact center employees faster access to information and more effective user support.
